Information We Collect

  • Contact details you provide when booking—name, phone number, email and preferred pick-up time.
  • Identification details shown at collection (for verification only; no ID copies are retained).
  • Technical data such as browser type, device and IP address for basic site security logs.

How We Use This Information

We process personal information solely for booking administration, communication and operational safety. Data is not sold or shared for marketing purposes. Messages from the booking form are stored securely and deleted when no longer needed for service delivery or accounting compliance.

Lawful Basis for Processing

Under the UK GDPR, our lawful bases include:

  • Contractual necessity – to manage bookings and provide the hire service you request.
  • Legitimate interest – to prevent misuse of equipment and maintain contact if items are delayed.
  • Legal obligation – to maintain tax and rental records as required by UK law.

Retention Period

Booking records are held for up to twelve months after the end of a rental, unless required longer for accounting. Emails are regularly reviewed and deleted when no longer relevant.

Your Rights

You have the right to request access to the data we hold about you, to ask for correction, erasure, restriction of processing or to object. To exercise these rights, contact us using the details below. We respond within one month as required by law.

Data Security

All digital records are stored on encrypted systems with limited staff access. No payment details are processed through our website; payments are handled separately using secure terminals at the hire desk. Memory cards are formatted between hires and contain no personal data from previous users.
